The Financial Records Every OnlyFans Agency Should Keep

5 min read · Legacy Solutions

An OnlyFans agency should keep seven sets of records: the signed contracts, the platform statements, the bank records, the split calculations, the payments to its own team, a log of adjustments and disputes, and the onboarding files for each model. Together they let you answer "where did this number come from?" in minutes, whether the question comes from a bank, an accountant or a model.

Most agencies don't keep records badly on purpose. They keep them in places: screenshots in chats, figures in a spreadsheet, a contract in someone's email. Each piece exists, but nobody can put them together quickly, and that's the moment records matter.

This list is about what to keep and why. It isn't about how long to keep it, because that depends on where you and your models are based. Ask a qualified accountant for that part.

The seven record sets arranged around one agency folder, each labeled with what it proves.

1. Contracts and every change to them

The signed agreement with each model is the starting point for every number that follows. Keep the current version, the earlier versions, and a written record of any change to the split, with the date and who agreed to it.

2. Platform statements

For each model and each period, keep the statement the platform produced. It's the source figure everything else is checked against.

3. Bank records

The platform statement says what was paid. The bank record says what arrived. Keep both, and keep them where you can find the matching pair quickly.

4. Split calculations and transfers

For every period, keep the calculation that produced each share, and the proof that each transfer happened.

5. Payments to your own team

Chatters, managers and other contractors are paid out of the same revenue, so the records need to line up with it.

6. A log of adjustments and disputes

Not every week is clean. Refunds, disputes and corrections happen, and sometimes they surface weeks later. Keep a running log so they don't get lost.

7. Onboarding files and basic records on each model

Each model's onboarding file should show who you're dealing with and that the account setup was done properly.

Where Legacy Solutions fits

A lot of this list comes down to one problem: the records exist, but in many places. Legacy Solutions is software that sits on top of licensed banking partners, built to put the weekly side of this in one place.

It doesn't replace your contracts, your bank records or your accountant. It also doesn't keep every record on this list for you, so you still need your own place for the contracts and the onboarding files. And Legacy is software only. It never holds, receives or transfers funds. The accounts and transfers sit with the licensed banking partner.

The split calculated and executed automatically, so neither side is waiting on the other.

If you'd like to see how it would look on your own numbers, you can apply at legacysolutions.vip.

A simple way to start this week

You don't need a new system to improve this. Create one folder per model with a subfolder for each of the seven sets above, and name files by date. Then fill in the gaps, starting with whichever set would be hardest to rebuild if someone asked tomorrow.

For the account structure these records support, read how to separate account management from bank account ownership. If you're choosing tools to keep this up, our seven questions to ask before choosing payout software will help.

Frequently asked questions

What records does an OnlyFans agency need to keep?

At a minimum: contracts and amendments, platform statements, bank records, split calculations and transfer proof, payments to the agency's team, a log of adjustments, and onboarding files for each model. Your accountant can tell you what else applies where you're based.

How long should an agency keep financial records?

It depends on the country and the business structure, so this isn't something to guess. Ask a qualified accountant, and keep records somewhere you can retrieve them quickly.

Are screenshots enough?

They're better than nothing, but they're hard to organise and easy to lose. Keep the original statements and exports, saved by model and date, and treat screenshots as a backup.

Should models have access to their own records?

Ideally yes. Giving each model the same statement the agency uses cuts questions and disagreements, and it means both sides are working from one set of numbers.

Does software replace an accountant?

No. Software can keep the weekly records in one place and show the same figures to both sides. An accountant tells you what your records need to cover and how long to keep them.
